Creating Invoice Template

Introduction

Invoice Template usually comes with Mediclinic Software when you sign up with us. This method is used when you like to custmoise your own Invoice Template. Video demonstration will guide you through how to create Merge Fields, access Code Fields from portal and upload the new Invoice Template.

Requirement:

We suggest using Microsoft Word (We haven't test with Google Docs yet). Word document file must be save as .docx

  1. Select your existing document or open new word document

  2. Pre-write your document content or remove part where you want to insert merge-field such as patient name, provider name

  3. Get merge fields code from Mediclinic portal. You can view list of available Merge Feld code by following the steps below:

    Portal Dashboard > Left menu, select "Correspondence" > Select "Maintain Letters"

    Just below the page title on the top. Click "Show / Hide fields" You will see list of the code fields on the left and definition on the right

  4. Once you find the relevant code fields you need. Copy the code
  5. Placing merge fields in Microsoft word

    Over this step we cannot just type "<< code fields>>" in the document. This is not how Word create merge fields and it will not work in the portal as well

    To create merge fields:

    • Microsoft word tool bar > Click on "Insert" > Select "Quick parts" > Select Field…
    • Under "Fields names" on the left. Search for "MergeField"
    • Paste the code that you copied from Mediclinic portal in "Field name" > Click "ok" To create more merge fields, you can either repeat the process like above or copy merge fields and edit them like how I did in video.
  6. Once you finished placing Merge fields on your document. Go ahead and save the document. Please make sure document is saved in .docx file
  7. Uploading to the portal

    Portal Dashboard > Left hand menu "Correspondence" > Maintain Letters On Upload Files > Select "Choose Files" select your word document Then click upload

    Please note that once you upload new template, this will over write the previous template, it's recommended that you do the backup of the previous version before overwrite with the new template

    That's it. You just create Invoice Tempalte of your own and upload to our system. You can check if your Invoice template by booking a test appointment and complete with payment. When you download an invoice, you should see your own invoice template.
